Email notifications

Overview

The plugin sends email notifications at key threshold milestones to ensure you never miss an important VAT obligation. Notifications are sent as scheduled digests rather than per-order alerts, keeping your inbox manageable.

Notification types

Threshold approaching

Sent when your cross-border B2C sales reach a configured warning percentage of the EUR 10,000 threshold. By default, this triggers at 80%, but you can adjust the percentage in Settings.

The email includes:

  • Your current threshold total.
  • The percentage of the threshold reached.
  • The number of remaining euros before the threshold is crossed.
  • A link to the Dashboard for further details.

Threshold crossed

Sent when your cross-border B2C sales exceed EUR 10,000. This is a one-time notification per calendar year.

The email includes:

  • The date the threshold was crossed.
  • The order that triggered the crossing.
  • A summary of next steps (registering for OSS or individual country VAT registration).
  • Links to relevant EU tax authority resources.

Weekly digest

A summary email sent on a configurable schedule (weekly by default) that recaps your threshold status. The digest includes:

  • Current threshold total and percentage.
  • Number of EU B2C orders since the last digest.
  • Top countries by order volume.
  • Any classification changes or corrections.

You can change the digest frequency to daily or monthly in Settings, or disable it entirely.

Configuring recipients

By default, notifications are sent to the WordPress admin email. To add additional recipients:

  1. Go to WooCommerce > EU VAT OSS > Settings > Notifications.
  2. In the Recipients field, enter email addresses separated by commas.
  3. Click Save changes.

All listed recipients receive every notification type. There is no per-type recipient configuration in the free version.

Notification settings

The following options are available under WooCommerce > EU VAT OSS > Settings > Notifications:

  • Enable notifications — Toggle all email notifications on or off.
  • Recipients — Comma-separated list of email addresses.
  • Warning threshold — The percentage at which the “Threshold approaching” alert triggers (default: 80%).
  • Digest frequency — How often the summary digest is sent: daily, weekly, or monthly.

Tips

  • Add your accountant — Include your tax advisor’s email in the recipients list so they are informed as you approach the threshold.
  • Set a conservative warning level — If your sales are seasonal or unpredictable, set the warning threshold to 60% or 70% to give yourself more lead time.
  • Do not rely solely on email — Also check the Dashboard widget regularly, as email delivery is not guaranteed.
